How can we help?

Answers to common questions about Ubicato for iPad. If you can’t find what you need, write to us.

Email support: [support email address]
We usually reply within [2 working days]. Please tell us your iPad model, your iPadOS version (Settings › General › About) and the steps that led to the problem. A screenshot helps a lot.

Please don’t send your inventory file or photos unless we ask for them for a specific problem. See our privacy policy.

Getting started

  1. Try the sample. Ubicato opens with a Sample office already set up. Search for “stapler” to see how finding works.
  2. Set up your room. Tap + Room, enter the inside measurements in centimetres, and name the four walls the way you think of them, such as “Window wall” or “Door wall”. You can also mark where the door is.
  3. Add storage. Tap + Add storage and follow the five steps: what it is, where it is, its size, its position, then save. A glowing blue preview shows exactly where it will go.
  4. Add items. Tap any storage to open its panel and type into Quick add. Separate several items with commas, and write 3 x AA batteries to record a quantity.

Finding things

How do I find something?

Type in the search box at the top of the sidebar (with a keyboard attached, press /). Tap a result. The storage glows, any doors or drawers in the way open, an orange beam marks the spot, and arrows on the floor show the way. The card at the bottom tells you the distance, the direction and the height. Take me there walks you to it.

Search didn’t find my item. Why?

Search matches parts of words in an item’s name, category, tags and notes, and the name of whoever has it now. So “stap” finds “Stapler” and “pler” does too. If it still doesn’t appear:

  • check the spelling, or try a shorter part of the word;
  • look in the Trash, because deleted items don’t appear in search;
  • search for the storage’s name instead, such as “top drawer”.
How do I see what’s inside a cupboard or drawer?

Touch and hold it. A small ring fills, then the storage turns see-through and shows every item inside it. Touch and hold again, or tap Solid again in its panel, to go back. Tapping a cupboard or drawer that’s already selected opens or closes it.

Moving around in 3D

How do I move the view?
  • Drag with one finger to turn around the room; pinch to zoom.
  • Use the navigation pad under the cube for steady moves. Press and hold a button to keep moving. ⌂ shows the whole room.
  • Tap TOP on the cube for a floor plan, or a wall letter to view the room from that side.
  • Switch to Walk mode to move through the room at eye level.
The 3D view feels slow or uses a lot of battery.

Open View in the top bar and set Picture quality to Balanced or Battery. The view only redraws while something is moving, so it uses very little power when you aren’t touching it.

Rooms and storage

How do I put a pouch inside a drawer, or a pen stand on a desk?

In the Add storage wizard, choose In / on other storage at the Where step, then pick the drawer or desk. You can nest storage as deep as you like.

Can I have more than one room?

Yes. Tap + Room in the top bar to add another, and switch between rooms with the room menu next to it.

Can I move or tidy many items at once?

Yes. Use the Tray at the bottom of the sidebar. Add items from search results, lists or storage panels, then move, lend, return, mark as seen or delete them all together. Every move and delete shows Undo for a few seconds.

Photos

How do I add a photo?

Open an item’s details, or a storage panel, and tap the camera button. You can take a new photo or pick one from your library. The first photo becomes the main one shown in search results; tap any photo to make it the main one or delete it.

The camera or my photos won’t open.

You may have said “Don’t Allow” when iPadOS asked. Open the Settings app, go to Privacy & Security › Camera (or Photos) and turn Ubicato on.

Lending and history

How do I record that I lent something?

Open the item’s details and choose Lend / take out. Enter who has it or where it went, and if you like an expected return date and a note. The item keeps its home, so search shows who has it and still points to where it belongs. The Out right now strip in the sidebar shows what’s out and what’s overdue.

What does “last seen” mean?

It’s the last time an item’s location was confirmed. Tap I see it here now when you spot it, or checked, all here in a storage panel after checking a whole drawer. The date turns amber after 4 months and red after a year, so you know which records to re-check.

Your data and backups

Is my inventory uploaded anywhere?

No. Everything stays on your iPad, and Ubicato works fully offline. See our privacy policy.

I deleted something by mistake.

Tap Undo straight away, or open the Trash at the bottom of the sidebar and tap Restore. Restoring a cupboard brings back its shelves and everything that was in them. Deleting a whole room is permanent, which is why you’re warned first.

Where are my backups?

Ubicato saves a backup every time it opens and keeps the latest 14. You can also save one any time with ⋯ › Backup now. Find them in the Files app under On My iPad › Ubicato › backups, with copies of your photos in backups/photos. You can copy them to iCloud Drive or a computer for safekeeping.

How do I restore a backup?

[Not yet possible inside the iPad app. Either add a “Restore from backup” feature before release, or replace this answer with: “Contact support and we’ll walk you through it.”]

How do I move Ubicato to a new iPad?

Set up the new iPad from a backup of your old one (iCloud Backup, a computer backup or Quick Start). Ubicato’s data comes across with it. Keep a recent Ubicato backup in iCloud Drive as well, just in case.

Can I get my data out of Ubicato?

Yes. ⋯ › Export everything creates a file with all your records, including history, and opens the share sheet so you can save it to Files, AirDrop it or send it elsewhere. Photos aren’t included in the export, but they’re in the backups folder.

How do I delete all my data?

Delete the Ubicato app from your iPad. This removes all its data, including the backups in its Files folder. This can’t be undone, so copy a backup somewhere else first if you might want it later.
